Sherpa Himalaya Treks and Expedition Pvt. Ltd. is a registered company under the laws of Nepal. We accept your bookings under the following terms and conditions: These Terms and Conditions apply to all our services made available online and may change at any time. By accessing, browsing, and using our website, you acknowledge, agree with, have read, and understand the terms and conditions set out below. We therefore encourage you to read it carefully.

1. Booking in Advance and Payments

To ensure a safe and successful adventure with Sherpa Himalaya Treks & Expedition Pvt. Ltd., clients must book their trip at least three months in advance. This allows ample time for necessary preparations.

A 30% deposit of the total trip cost is required upon booking to secure your reservation. This initial payment covers expenses such as hotel bookings, flights, guide and porter arrangements, and government permit fees.

2. Cancellation & Refund Policy

At Sherpa Himalaya Treks & Expedition Pvt. Ltd., we understand that travel plans can change unexpectedly. To manage operational commitments and resources allocated for each trip, the following cancellation and refund terms apply:

2.A) Cancellation Before Departure

If you cancel your trip prior to your scheduled departure from your home country:

  • A 30% cancellation fee will be applied based on the total trip cost.
  • The remaining balance will be refunded (if full payment has been made in advance) after deducting applicable bank processing charges as per Nepal Rastra Bank regulations.
  • Alternatively, you may choose to retain the refundable amount as credit for a future trip with Sherpa Himalaya Treks & Expedition Pvt. Ltd.

2.B) Incomplete Trip

If you are unable to complete the trip for any reason:

  • No refunds will be provided for unused services, including accommodation, meals, transportation, or other arrangements.
  • In the event of any unlawful activity resulting in early termination of your trip or forced departure from Nepal, the company will not be liable for any refunds.

2.C) No Refund After Trip Commencement

Once the trip has officially started:

  • No refunds will be issued for any unused portion of the itinerary or services.
  • The client is responsible for paying the full trip cost, regardless of early withdrawal or non-participation.

Important Note

Cancellation fees are calculated based on the total trip cost and reflect the preparation, logistics, and operational expenses involved in organizing your journey. We strongly recommend purchasing comprehensive travel insurance to protect against unforeseen circumstances such as trip cancellations, delays, or interruptions.


3. Travel Insurance Requirement

For all trekking and expedition programs with Sherpa Himalaya Treks & Expedition Pvt. Ltd., clients are required to obtain comprehensive travel insurance prior to arrival in Nepal. Your insurance policy must provide adequate coverage for:

  • Emergency medical expenses
  • High-altitude evacuation (including helicopter rescue)
  • Search and rescue operations
  • Trip cancellation or interruption
  • Personal accidents and injuries

Due to the inherent risks involved in trekking and mountaineering activities—especially in remote and high-altitude regions—having complete insurance coverage is essential for your safety and financial protection.

3.A) Emergency Support & Responsibility

To ensure efficient assistance during emergencies, the company will collect and maintain your insurance details before the trip begins. In the event of an incident, we will:

  • Coordinate with authorized rescue and evacuation services
  • Assist with necessary documentation and communication
  • Support the overall emergency response process

However, Sherpa Himalaya Treks & Expedition Pvt. Ltd. will not be held liable for any expenses, losses, or damages that are not covered by your insurance policy. Any additional costs must be borne solely by the client.

3.B) Important Considerations

  • In certain remote or high-altitude areas, air evacuation services may be limited or unavailable due to weather, terrain, or regulatory conditions.
  • While we provide full support within local guidelines and operational limits, ultimate responsibility for personal safety and preparedness lies with the client.

3.C) Recommendation

We strongly advise purchasing a reliable and comprehensive travel insurance plan that fully covers high-altitude trekking in Nepal to ensure a safe and worry-free adventure.


4. Itinerary Alteration Policy

At Sherpa Himalaya Treks & Expedition Pvt. Ltd., the safety and well-being of our clients is our top priority. While we strive to follow the planned itinerary, all trekking and tour programs are subject to modification when necessary.

4.A) Changes Due to Safety and Conditions

The itinerary may be adjusted at the discretion of the tour leader or guide due to factors such as:

  • Weather conditions
  • Health and safety concerns
  • Trail or route conditions
  • Unforeseen natural or logistical challenges

In such situations, the tour leader may recommend alternative routes, schedules, or activities. These adjustments are made to ensure a safe, smooth, and enjoyable travel experience, and options may be discussed with the group when possible.

4.B) Transportation & Schedule Changes

Where transportation services such as ferries or local transit are included:

  • Schedules may change due to weather conditions, operational issues, or decisions made by the service provider.
  • Such changes are beyond the control of the company and may require itinerary adjustments.

Important Note

While every effort is made to operate the trip as planned, flexibility is essential when traveling in remote and high-altitude regions. Any changes made will always prioritize client safety, comfort, and overall experience.


5. Flight Cancellations (International/ Domestic)

In any flight cancellations, financial compensation will not be provided unless the cancellation is directly caused by the company’s actions. However, it is within the duty of the company to assist our clients by arranging hotel accommodations, subject to applicable charge.


6. Overnight Stay & Food

In the event of an overnight stay necessitated by client circumstances, flight cancellations (domestic or international), or any other issues, clients will be responsible for associated accommodation and meal expenses. However, if the overnight stay is caused due to the company’s reason, the company will cover the costs of accommodations.


7. Client Compliance and Authority

Clients must agree to adhere to all local laws, regulations, and customs during their trip. The company bears no responsibility for clients engaging in any illegal activities. In the event of a client’s unlawful conduct, the company reserves the right to contact local authorities. Any legal consequences arising from a client’s actions are solely the client’s responsibility. The company is under no obligation to provide legal assistance or financial compensation in such circumstances.

The team leader or guide holds ultimate authority during the trek/expedition. These individuals are highly experienced and their decisions prioritize the safety and well-being of all participants. Clients agree to follow their instructions without exception. In the event of disputes or conflicts among clients, the company’s staff will mediate. If necessary, local authorities may be involved to resolve the matter.


8. Agreement of Services

Trekking and expedition experiences in Nepal often take place in remote and high-altitude regions where conditions can be challenging and far from modern-day comforts. While Sherpa Himalaya Treks & Expedition Pvt. Ltd. is committed to delivering high-quality services, there may be situations where certain expectations cannot be fully met due to factors beyond our control.

Traveling in the Himalayas involves natural uncertainties such as weather changes, limited infrastructure, and logistical constraints. Despite our best efforts to ensure a smooth and comfortable journey, unforeseen circumstances may occasionally affect planned services.

We kindly request our clients to maintain a flexible and understanding approach throughout the trip. It is essential for all travelers to have a clear understanding of the nature, challenges, and limitations of their chosen itinerary before confirming their booking.

By proceeding with the trip, clients acknowledge and accept these conditions as part of the unique and authentic Himalayan trekking experience.


9. Publicity & Media Use

By participating in trips organized by Sherpa Himalaya Treks & Expedition Pvt. Ltd., clients grant the company the right to use photographs and video footage taken during the trip for marketing and promotional purposes, free of charge.

Such materials may be used across various platforms including, but not limited to, the company’s website, social media channels, brochures, and other promotional content. The company will ensure that all content is used responsibly and respectfully.

If any client prefers not to have their images or videos used, they are kindly requested to inform the company in writing prior to the trip. Client privacy will always be respected, and no sensitive personal information will be shared without consent.


10. Environmental & Social Responsibility

At Sherpa Himalaya Treks & Expedition Pvt. Ltd., we are committed to responsible and sustainable trekking practices in Nepal. We encourage all clients to respect the natural environment, wildlife, and local cultures throughout the journey. Trekkers are expected to follow a “leave no trace” approach, properly manage waste, avoid single-use plastics where possible, and stay on designated trails.

We also promote respectful interaction with local communities by honoring their traditions, customs, and way of life. Supporting local businesses, using local services, and maintaining cultural sensitivity are essential parts of our trekking philosophy.

By joining our trips, clients agree to travel responsibly and contribute positively to the preservation of Nepal’s environment and communities for future generations.


11. Health & Medical Condition

Clients must ensure they are physically and mentally fit to undertake trekking activities in Nepal, especially in high-altitude environments. It is the responsibility of each client to inform Sherpa Himalaya Treks & Expedition Pvt. Ltd. in advance of any existing medical conditions, injuries, or health concerns that may affect their ability to participate in the trip.

Clients are also required to clearly declare any food allergies, dietary restrictions, or medical conditions that the company should be aware of prior to departure. This allows us to make necessary arrangements and provide appropriate support during the trek.

Failure to disclose relevant health information may increase risks during the journey, for which the company cannot be held responsible. Clients are advised to consult a medical professional before traveling and to carry any personal medications required for the duration of the trip.
